Contracts Administrator

Do you have a background in legal/ paralegal / contracts? If so, this role may be for you.

We are seeking a Contracts Administrator who will be responsible for managing, maintaining, and overseeing all aspects of the contract lifecycle -- from preparation to execution -- for our client's organization. You will report to the Finance department and will require a strong understanding of contract law, legal terminology and procedures, along with proficiency in contract database management and insurance oversight.

What you'll do in this role:

  • Draft, review, and negotiate contracts and agreements in collaboration with legal teams, ensuring accuracy, completeness, and compliance with company policies and applicable laws.
  • Manage contract execution processes, ensuring all terms and conditions are properly adhered to.
  • Track and maintain records of contract milestones, renewals, amendments, and terminations.
  • Provide guidance to internal departments on contract-related matters.
  • Assist with legal research and analysis, providing valuable information and support to attorneys in litigation and non-litigation matters.
  • Prepare and file legal documents, such as briefs, reports, and legal correspondence, ensuring they comply with legal procedures and deadlines.
  • Coordinate and manage the discovery process for litigation, including document production and preparation of evidence.
  • Oversee the maintenance of an efficient contract database system, ensuring all contracts are properly stored and easily retrievable.
  • Implement and optimize contract management software to improve tracking, reporting, and auditing capabilities.
  • Conduct periodic audits of contract databases to ensure data accuracy and completeness.
  • Administer insurance policies related to contracts, including ensuring appropriate coverage and compliance with contractual requirements.
  • Coordinate with insurance providers to verify the adequacy of insurance coverage for various projects or business activities.
  • Ensure that insurance certificates are properly reviewed, recorded, and tracked as part of the contract execution process.
  • Ensure all contracts comply with local, state, federal, and international regulations.
  • Provide risk management support by identifying potential risks within contracts and recommending mitigation strategies.
  • Assist with audits and investigations to ensure adherence to company policies and legal requirements.
  • Act as a liaison between legal, finance, procurement, and other departments to ensure smooth contract administration and implementation.
  • Coordinate with external parties, such as clients, vendors, and legal representatives, to ensure that contractual obligations are met.
  • Provide administrative support with other projects as needed.

Skills You Will Bring:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with contract lifecycle management software.
  • Strong analytical and problem-solving abilities.
  • Ability to manage multiple tasks and meet deadlines.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality and exercise discretion.

Other Qualifications We're Looking For

  • Bachelor’s degree in business, Paralegal Studies, or related field.
  • Paralegal certification (preferred).
  • Experience as a paralegal and proven track record of managing complex contracts and ensuring compliance with internal and external requirements.
  • Experience with project management tools or software.
  • Knowledge of insurance policies and claims processing.
  • Familiarity with risk management strategies and compliance requirements.
  • Previous relevant experience in a manufacturing environment is strongly preferred.

Compensation and Benefits

This position comes with a generous salary ($60,000 - $100,000) and benefits package, including health insurance and paid time off.
